Hello everybody and welcome to E-mail Picks.
I hope your week has not been too busy.

Today the e-mail message I'd like to show
you how to write is this: Declining a

request to join a project. So yesterday my
colleague Justin and I received an email

from Gabriel. Gabriel is a business
planning expert in our company and he

asked us if our schedules were open to
join his new project. So I talked to

Justin about this and our conclusion was:
unfortunately, no. Well our schedules are

packed until the end of next month. So
Gabriel's project sounds very interesting

and so fun, so we want to join it, but
unfortunately we have other important

projects with deadlines that we cannot
miss. So I'm going to reply to say no.

But in this e-mail, I'd like to
communicate that we really, really wanted

to join the project, and also I want to
say that we are mentally ready to

take on any new projects in the future.
It's just that we only have one body

each right now. So anyway, here goes. Dear Gabriel, Thank you for considering having

Justin and I in your project. As much as
we would like to be part of such an

exciting initiative, our schedules are
packed with deadlines that we cannot

afford to postpone until the end of
August. I'm afraid we cannot help you at

this moment, but we will of course be up
for any challenges after August. Best,

Kyota... Okay so first I thanked Gabriel
for thinking about us by writing "Thank

you for considering having Justin and I
in your project." Then, I communicated that

we really wanted to join by writing "As
much as we would like to be part of such

an exciting initiative..." Okay and then I
communicated that we couldn't join by

writing "Our schedules are packed with
deadlines that we cannot

afford to postpone until the end of
August. Finally I wanted to say that we

do want to join new and exciting
projects in the future,

so I wrote "I'm afraid we cannot help you
at this moment but we will of course be

up for any challenges after August." So
I'm declining his request but I think

I'm communicating the message with a
positive feel. So I think it's easy to

say NO to a task, but it's very important
to communicate what that NO means. Do you

mean "No, I'll never take extra work" or do
you mean "This time, no. But I do want

future opportunities." Okay so think about
that. Anyway, that's it for today. Thank
