こんなシチュエーション、お仕事でありませんか?

多忙な社員3名を集めて重大なことについて議論してもらわなければなりません。でも会議に許された時間はたったの30分。

Hi everyone. Welcome to E-mail Picks. Let me start with a question for you today. So

what would you do if you had to gather
three busy managers to have them discuss

something very important, but you could
only have about 30 minutes of their time?

So scheduling that meeting would be a
headache in the first place and trying

to make the meeting a fruitful one would
be another. So that's what's worrying me

today. Now whenever you have a meeting,
the first step is almost always to

confirm that everyone is on the same
page.

You want to make sure that everyone has
the same understanding of the situation

and then start the main part of the
meeting. But confirming background

information could take five minutes or
sometimes even ten minutes and when you

have a 30 minute meeting, that's a big
loss. So what I want to do today is

provide enough background information to all the participants by e-mail and help

them to be on the same page before the
meeting. So I've put together a summary

of our situation in a short document. So I'd like everyone

to read this. Now in this e-mail, I need to
do two things: first is I need to tell

them that there is a reading and it is
very important to read it. But the

problem is nobody likes reading
documents. So the second thing I need to

do is to tell them that the reading is
not so long. It won't take too much of

their time. So let's see how that email
will go. Hello Pedro, Ralph and Yuka

This concerns our conference call coming
up on November 21st. As we only have 30

minutes for the meeting, I would like to
share the background information in the

e-mail so that we can go straight into
discussion. Could I trouble you to have a

look at the points written in the
attachment? It should only take a minute

to read through it. I look forward to
seeing you all at the meeting. Kyota. OK,

so in my first paragraph I'm just
telling everyone what this e-mail is

about. In the second paragraph, I
explained the reason I'm sharing

background information before the
meeting. I wrote "As you only have 30

minutes for the meeting"
and "so that we can go straight into

discussion." And then, I requested that
everyone read the document by writing

"Could I trouble you to have a look" and
"It should only take a minute to read

through it."
So hopefully Pedro, Ralph and Yuka will

all be ready to discuss when we have the
meeting next week. So that's it for today.
