Hi everyone! Welcome to E-mail Picks. Now have you ever had that situation where

somebody apologizes to you for failing
to do something but you understand 100%

that it was not his fault, so you don't
want him to feel so sorry? Well I have

that exact situation for you today. So my
colleague, Ralph and I had been planning

a new service and we have finally made
our idea concrete, so we have been

preparing a proposal together and we're
going to present it to the executives

very soon. Now we had agreed that I would
make half of the proposal and Ralph the

other half by yesterday.
So Ralph sent me his work by e-mail last

night but in that e-mail he is
apologizing to me. So here's what he

wrote:
Hello Kyota, attached is my part of the

proposal but as you can see, it's nowhere
near perfect. I don't like to make

excuses but there were a few emergencies
at work and at home during the past two

weeks. I've had to prioritize them and
that resulted in this unsatisfactory

work. I'll work on it further if you can
allow me some more time after I sort out

all emergencies. Best, Ralph. So you can
see that Ralph feels very sorry in this

e-mail and I know him very well. He's a
very responsible person and I know that

he is not making up an excuse here.
He probably had an unrealistic amount of

things to do and this was actually the
best he could do. Now when something goes

wrong in business or anything in life,
it's very rare that it's one person's

fault. I finally learned to think like
that. There can be hundreds of factors

like understaffing, unexpected problems,
important and urgent requests, stress

caused by work-related matters, stress
caused by family matters, health issues,

lack of training, poor management and
lack of communication from my side. And in

this case, I feel it was hardly his fault.
The other factors must have been much bigger.

So in my reply, my goal is to make him
feel better. I don't want him to worry

about the proposal at all because his
being in a tough situation right now is

the bigger problem. So here's what I'm
going to write: Hi Ralph,

I'm sorry to hear about the hardship
you've been in. Is everything OK? The

proposal can wait until things settle
down on your side. Please don't worry

about it.
I'll work on your part so that we can

discuss it together when you are ready
to. I hope you are getting enough rest.

Best regards, Kyota. OK so in this e-mail
I'm trying to communicate that Ralph

does not need to worry about the
proposal at all. I've done so in several

sentences by writing things "like the
proposal can wait", "please don't worry

about it", "I'll work on your part... we can
discuss it together when you're ready to"

and "I hope you're getting enough rest."
So hopefully, Ralph will be able to

concentrate on his other issues after
reading this e-mail. So that's it for
