英文メールの書き方:不採用の通知をする

こんなシチュエーション、お仕事でありませんか?

採用活動をする中で、国外の応募者と電話で面談しました。人柄は申し分ないものの、スキルなどの面を考慮した結果、不採用とすることにしました。

こういう時は、縁がなかったとあきらめ、次のチャンスに目を向けるのがお互いにとって最も建設的なのは言うまでもありません。

さて、相手は合否をメールで知らせてほしいとのこと。不採用の理由をこと細かに書いてしまうと、やりとりが長引いてしまうかもしれません。不採用であることだけを端的に、でも丁寧に書こう。

Hi everyone! How's it going? It's Kyota here again to bring you another E-mail

Picks video, but today, it's not gonna be
an easy one. I'm going to write an e-mail

to turn down a job candidate. So last
week, we had a job applicant who was

interested in one of our managerial
positions in our company, and he lived

far away. So my boss and I had a
telephone interview with him. Now

honestly, the interview was pretty fun
because he was one of the nicest people

I had ever spoken with, but after talking
it over with my boss, we decided not to

hire him. It breaks our heart to turn
down such a nice person, but we felt he

was not the kind of person we were
looking for right now. The job candidate

requested that we tell him the result by
e-mail, so that's what I'm doing

but of course this will not be happy
news for him, so I need to be careful

about a few points: first, the job
interview was done in a pretty informal

manner, but in this e-mail, I need to be
more formal. It's because this will

probably be very serious information for
somebody who's looking for a job;

second, the truth is, that I want to tell
him the reason we decided not to hire

him, but in reality I shouldn't it's
because it's very risky to write any

reason. If I write the reason, and the
candidate disagrees, that may lead to

many follow-up e-mails. The best thing to
do for both sides is to close this

account as soon as possible and move on --
not waste time arguing over e-mail. So I'm

just gonna write the result and wish him
good luck in his job interview.

So here goes: Thank you for taking the
time to speak with us last week and

sharing your views on business. However,
after careful consideration, we have

concluded that another candidate was
best qualified for the job. Thank you for

your interest in our company and we wish
you success with your future job search.

So as you can imagine, most of the

sentences here are very common things to
say in this kind of e-mail. For example:

"thank you for taking the time to..."
is a common phrase. "After

careful consideration..." is
another common phrase. "Thank you for your

interest in our company" is another
common phrase, and "we wish you success

with your future job search" is another
common phrase. "We have concluded that

another candidate was best qualified for
the job" is a more indirect, formal way to

say we decided not to hire you. So as you
can see, there aren't many ways to be

creative when you write this kind of
e-mail. It almost always comes out to be

the same. So anyway, I hope that helps
some of you who are in charge of hiring.
